Laying the Foundation: Kloepfer Inc. End of Year Event

In the world of events, the success of the main night often relies on the quality of work done before the guests arrive at the venue. For my senior project I planned an event for a construction company, Kloepfer Inc., based in southern Idaho. Since the event was a few days after the Senior Showcase my case study was all about the process I went through to plan Kloepfer’s End of Year/Season Event.

Kloepfer Inc. wanted a more organized approach to coordinate all the details for their event. The of my project was to outline and execute the preparation process, and ensure a solid foundation for the event. I was able to accomplish this by acting as the client’s liaison, managing a budget, figuring out the venue and catering, as well as creating the history presentation.

The event couldn’t have happened without the communication between the client and the venue. It was my responsibility to ensure that the that the client’s needs and preferences were met.

Managing the budget and preparing the menu for the dinner went hand in hand. The dinner logistics took a lot longer than expected to figure out. I had to adjust a few different times to figure out what the client really wanted.

Finally, the history presentation. I was able to talk to the client about getting photos of their company from the past two decades. From there, I went through all the photos they sent me and selected the best ones from the group. I then put together a fifteen minute slideshow that would play through the entire event.

Through all this work I learned the importance of having a good strategy and plan to begin the entire process of planning and preparing for an event. I also realized the importance of clear communication with the venue and client, especially as a third party individual who is speaking in behalf of the client.
