
Purpose/Objectives
The primary objectives of this project were to cultivate and apply event planning and social media marketing skills effectively. The project aimed to successfully execute a community event using both online and in-person promotional strategies.
The Project
The Swap, held in Rexburg, Idaho, was a community clothing exchange designed to provide residents with a sustainable avenue to update their wardrobes while fostering community engagement. Attendees brought gently-used clothing items, exchanged them using tickets, and enjoyed additional amenities such as a complimentary hot chocolate bar and participation in a raffle for gift cards from Domino’s Pizza or Cold Stone Creamery.
Challenges
Securing an appropriate venue proved to be a significant challenge for the event. Originally planned for Porter Park, concerns about mid-November weather led to a last-minute change of venue. Overcoming this obstacle required reaching out to local businesses, many of which were unresponsive or declined. Eventually, the lobby of a local apartment complex, called Sundance, served as a suitable and complimentary alternative. Another challenge involved audience diversification, as the event primarily attracted women, leaving male attendees with limited options. Future planning will focus on early venue selection and strategies to attract a more diverse audience.
Project Processes
The project’s beginning focused on building a cohesive brand identity, involving the creation of a style guide, logo design, and strategic content planning. Social media efforts were then launched to attract attention and followers. Subsequently, logistical aspects, including procurement and event enhancement ideas, were meticulously planned. Direct engagement with the audience through polls on social media ensured alignment with attendees’ preferences.
As the event date approached, in-person marketing efforts were initiated, followed by the recruitment of a support team for setup. The final preparations were made, including last-minute purchases, to ensure the seamless execution of the event.
Overview of Experiences
This comprehensive experience provided valuable insights into the intricacies of event planning and social media management. The organizer gained proficiency in content creation for social media and effective time management. Beyond skill development, the most rewarding aspect was the positive relationships fostered through The Swap. With 35 attendees surpassing expectations, witnessing the formation of friendships during the event underscored its success.
Takeaways
Key takeaways include the importance of personal connections and audience engagement in event success. Recognizing that individuals personally interacted with—both online and offline—constituted the majority of attendees emphasizes the significance of building genuine relationships. Additionally, the necessity of securing essential elements early in the planning process was highlighted, contributing to a more organized and less stressful execution. Future endeavors will incorporate these lessons to enhance overall event planning proficiency.
