I recently spent the last few months creating and helping plan fitness activities for VASA. I currently work with this company. I had the opportunity to be up close and personal with the public. I was also involved in the planning. I created a guide on how to create and plan the best fitness events. This guide starts with brainstorming from the beginning. It covers everything you need to include in your events.
I wanted to first focus on getting the public involved. It was also important to make them aware of the upcoming events and challenges the gym has. I want to share the steps I took to plan and execute the events we put together. This has helped VASA grow their membership and has progressed in group fitness tremendously.
Brainstorming
Brainstorm and create challenge/event. We came together as a team. We helped organize the perfect event that would entertain the members. It also aimed to attract new members. I considered various themes and challenge types that would accommodate all fitness levels. This process involved
- Creating a list of popular event types
- Identifying potential partners like local gyms, nutritionists, or public parks.
- Reflecting on what motivates people: competition, fun, recognition, T-shirts, and social interaction.
Research strategies
This was a short one I wanted to include. We really wanted to gain more people. We aimed at getting the public involved.We used social media to spread the word. We were also constantly announcing and posting things on boards at the gym.

We got the team together to spread the word about the event we planned.This is crucial for spreading the word. It ensures your event is well known throughout your area.
We as a team planned another way to promote the challenge. This was a great learning experience. It helped me understand better about engaging with the public. I learned what is going to work for your event and what are some problems we might face.

This includes everything I thought of to make sure the event goes well and runs smoothly.

Some challenges I faced were generating inclusive ideas for all fitness levels. Sometimes it’s hard to ensure everyone can be involved. It was difficult to come up with an idea where the dates and times worked as well. Another challenge I faced was time management. This was challenging due to instances where we couldn’t meet deadlines. We also struggled to finish a design, causing further delays. But once we finished these, it was good. We made sure we had enough time to promote the event before it happened. One last challenge I faced was balancing creativity with structure. I wanted the event ideas to be innovative and fun, but also organized enough to be implemented easily. It was a challenge to not overcomplicate the events while still m making them exciting and fresh.
Putting together this guide taught me the importance of strategic planning. Working with well-established marketers and managers highlighted the value of community engagement and dynamic promotion. I learned that starting with a strong brainstorming phase helped me explore events types and see potential for different ideas.
